The problem
New hire onboarding was a coordination nightmare. IT needed 2 days to provision accounts. HR scheduled meetings manually. The manager scrambled to set up intros. New hires spent their first week waiting for access, attending whatever meetings they could find, and wondering who their buddy was supposed to be. Across three teams (IT, HR, manager), onboarding involved dozens of manual steps, all happening asynchronously with inevitable gaps.
Our approach
An end-to-end onboarding agent triggered automatically when a new hire's status moves to "Onboarding" in Notion. It provisions all required accounts using browser automation, creates a personalized first-week calendar from role templates, assigns a buddy, sends a welcome message with a full setup summary, and then remains available as the new hire's assistant for their first 30 days — answering questions from the company knowledge base.
How it works
- Notion database status change triggers the agent with the hire record (name, role, department, start date, manager).
- Provisions Google Workspace, Slack, GitHub, Figma, and role-specific tools via browser automation using vault credentials.
- Generates a first-week calendar from role-specific templates: manager 1:1, buddy meeting, team intro, all-hands, benefits walkthrough.
- Assigns a buddy from the buddy pool based on team and availability.
- Sends a Slack welcome with everything summarized and an open invite to ask any question.
- For 30 days, answers new-hire questions by searching the company knowledge base.
